The Role
At Blueprint, we're all about crafting memorable events throughout the year. From standout product launches and business conferences to immersive consumer events and the latest in virtual/hybrid gatherings, we've got it all.
We're scouting for a Guest and Event Manager who's ready to dive in, taking the lead on our registration platform, ensuring smooth communication, and making sure our guests always have a top-notch experience.
This role is 80% guest management and 20% on site, but you will be asked to support events both in the UK and sometimes even further afield.
The role will involve:
- Communications Management:
- Drafting and sending out event invitations to potential guests.
- Responding to guest inquiries in a timely and professional manner.
- Sending out event reminders and updates to registered guests.
- Registration Oversight:
- Managing the guest registration process, ensuring all details are captured accurately.
- Confirming guest attendance and special requirements (e.g., dietary restrictions, accessibility needs).
- Maintaining an up-to-date guest list and ensuring all registration data is securely stored.
- Reporting:
- Generating reports on guest registration numbers, attendance rates, and feedback.
- Analysing guest data to provide insights for future event planning.
- Presenting registration and attendance statistics to the events team and stakeholders.
- Liaison Duties:
- Serving as the primary point of contact for guests before, during, and after the event.
- Coordinating with other departments (e.g., catering, logistics, security) to ensure guest needs are met.
- Addressing and resolving any guest-related issues or concerns in a prompt and satisfactory manner.
- Event Day Responsibilities:
- Overseeing the check-in process and ensuring a smooth flow of guests.
- Assisting guests with any on-site inquiries or needs.
- Gathering feedback from guests post-event to improve future events.
- Continuous Improvement:
- Regularly reviewing and updating communication and registration processes to enhance guest experience.
- Staying updated with the latest trends in event management and guest relations.
- Participating in training and workshops to enhance skills and knowledge.
The candidate will need:
- Guest Relations Skills:
- Proven ability to manage guest lists, handle inquiries, and resolve issues promptly.
- Strong interpersonal skills to interact with guests and ensure their satisfaction.
- Event Management Expertise:
- Experience in planning, coordinating, and executing events of various scales and types.
- Familiarity with event logistics, venue selection, and vendor management.
- Registration Platform Proficiency:
- Experience with event registration software and platforms.
- Ability to manage and analyse registration data.
- Communication Skills:
- Excellent written and verbal communication abilities.
- Experience in drafting event-related communications, such as invitations, reminders, and feedback forms.
- Organizational Skills:
- Strong attention to detail and the ability to manage multiple tasks simultaneously.
- Time management skills to meet deadlines and ensure smooth event execution.
- Tech-savviness:
- Some familiarity with virtual and hybrid event platforms.
- Flexibility and Adaptability:
- Willingness to travel, both domestically and internationally.
- Ability to adapt to changing event requirements and handle unexpected challenges.
- Team Collaboration:
- Ability to work effectively with cross-functional teams, including marketing, logistics, and vendors.
- Experience in coordinating with internal and external stakeholders.
- Problem-solving Skills:
- Ability to anticipate potential issues and devise solutions in real-time.
- Proactive approach to identifying and addressing challenges.
Experience:
- Able to demonstrate excellent written and oral communication skills and a high degree of project management ability
- Experience in event or guest management role, ideally agency side
- Proven proficiency in excel and data manipulation
- A positive, confident, and determined approach
- A high degree of self-motivation and ambition
- Experience in managing relationships with stakeholders of all levels
- Proficiency in the suite of Microsoft Office products
- Strong inter-personal and communication skills
